This Privacy Policy describes how EZ-Close LLC ("EZ-Close," "we," "us," or "our") collects, uses, and shares information when you use our platform and website (the "Service"). By using the Service, you consent to the practices described here.

Information We Collect

We collect three categories of information:

• Account information. When you create or are invited to an account, we collect identifying information such as your name, email address, phone number, professional role (loan officer, escrow agent, realtor, etc.), and the company you work for.
• Transaction information. When you participate in a deal on the Service, we collect information related to that transaction - including documents you upload (purchase contracts, closing disclosures, settlement statements, deeds, invoices, inspection reports, and similar), fee data, deal status, party contact details, and messages.
• Usage information. Like most online services, we collect technical information when you use the Service - IP addresses, browser and device characteristics, pages viewed, and actions taken. This information is used for security, troubleshooting, and product improvement.

How We Use Information

We use the information we collect to:

• Provide, maintain, and improve the Service;
• Authenticate users and protect the Service against fraud and abuse;
• Send transactional notifications (account verification, multi-factor authentication codes, deal invitations, document activity, fee-status alerts);
• Generate aggregate, de-identified analytics that help us understand how the Service is used;
• Comply with legal obligations and enforce our agreements.

EZ-Close does not sell personal information and does not use Customer Data to send marketing email to recipients who did not explicitly sign up to receive it.

Sharing of Information

We share information only as needed to operate the Service:

• Within a transaction. Information about a deal is visible to other authorized participants in that same deal - for example, fees you enter on the lender side are visible to the title/escrow company on the same deal, and vice versa.
• Service providers. We use trusted vendors to host the Service, run document-classification and field-extraction models, send transactional email, and handle infrastructure. These providers are bound by confidentiality and data-protection obligations and may process information only on our behalf.
• Legal and safety. We may disclose information when required by law, when responding to a valid legal process, or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of EZ-Close, our users, or others.
• Business transfers. If EZ-Close is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to commercially reasonable safeguards.

Email, Text Messages, and Notifications

EZ-Close sends transactional email related to your account and the deals you are part of. Every message includes an unsubscribe mechanism for optional notification categories. You may not unsubscribe from security-critical messages (account verification, password reset, multi-factor authentication) while the account remains active.

If you opt in to text message (SMS) notifications, EZ-Close will send automated text messages about your transactions and login verification codes to the mobile number you provide. Message frequency varies, and message and data rates may apply. You can opt out at any time by replying STOP, or get assistance by replying HELP. No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes; text messaging originator opt-in data and consent will not be shared with any third parties, except for vendors acting on our behalf solely to deliver these messages.

Data Retention

We retain Customer Data for as long as needed to provide the Service and for a reasonable period thereafter for backup, audit, dispute resolution, and legal-compliance purposes. You may request deletion of your account information by emailing hello@ezclose.co; some information may be retained as required by law or to maintain the integrity of completed transactions.

Security

We use commercially reasonable safeguards designed to protect information from unauthorized access, alteration, disclosure, or destruction. These include encryption in transit and at rest, access controls, audit logging, and regular reviews of our security posture. No method of transmission or storage is perfectly secure, however, and we cannot guarantee absolute security.

Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

Your Choices and Rights

Depending on where you live, you may have rights to access, correct, or delete personal information we hold about you, or to object to certain uses. To exercise these rights, contact us at hello@ezclose.co. We will respond consistent with applicable law.

International Users

EZ-Close is operated from the United States. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide reasonable notice (for example, by posting a notice on the Service or sending an email). Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
